6-STEP PROCESS FROM QUOTATION SUBMITTING, CONTRACT SIGNING, SHIPPING AND PAYMENT
- 1300’S COFFEE: Submit Company Profile and quotation based on international trade terms (e.g., FOB, CIF, EXW).
- Send samples: If requested by the partner, send product samples for quality assessment before deciding to place an order.
- Negotiation: In-depth discussion of terms such as: product name, quantity, quality, price, packaging, delivery conditions, and payment methods.” Payment method.
- Contract signing: After reaching an agreement, both parties proceed to sign a Sales Contract or Purchase Order, which is the most important legal basis.
- Production: 1300’S COFFEE proceeds with production according to the contract requirements.
- Inspection: Packaging is done according to export specifications and quality inspection procedures are carried out (if required, for example: plant quarantine for agricultural products, CE or FDA certification).
- Ship/Air charter: 1300’S COFFEE will contact forwarders or shipping companies to… – Obtain a schedule and booking note that matches the delivery time.
- Loading containers: Load goods into containers (FCL) or less-than-container load (LCL) and transport them to the export port/airport.
- Customs declaration: Prepare the set of documents (Invoice, Packing List, Sales Contract, Bill of Lading, Certificate of Origin C/O…) and proceed with electronic declaration on the customs system.
- Customs clearance: After the declaration is cleared and there are no suspicions, proceed with customs clearance and complete all procedures at the port so that the goods can be loaded onto the ship/aircraft.
- Delivery: Obtain the Bill of Lading from the shipping company and send a scanned copy of the document to the buyer. – Payment: Based on the agreed payment method (T/T wire transfer or Letter of Credit L/C), send the original documents to the bank or directly to the buyer to receive payment.
- Follow-up: Provide customer service after they receive the goods, resolve any complaints (if any), and maintain the relationship to prepare for future orders.
1300’S COFFEE INTERNATIONAL SALES POLICY
- Products are manufactured according to ISO 22000, HACCP, Halal, or Kosher standards (depending on the market).
- Ensures that moisture content, caffeine content, and pesticide residue levels meet the food safety standards of the importing country.
- Company-branded products: Packaging is provided according to international language standards (English) or the language requested by the distributor if the committed production volume is met.
- Private Label products (OEM/Private Label): Custom manufacturing is available based on the importer’s formula and packaging. The buyer is responsible for trademark and design copyright.
- By Container: Minimum 1 x 20ft container (supports mixing/blending of different product lines: instant, roasted and ground in the same container for distributors to easily test the market).
- By SKU (Product Code): Minimum 2,000 – 5,000 product units (packets/boxes) per production run to optimize packaging printing costs.
- Basic Level (Production volume reaches MOQ – 2 containers/quarter): Standard wholesale price applies.
- Silver Level (Production volume from 3 – 5 containers/quarter): 2% discount on the total order value.
- Gold Level (Production volume over 5 containers/quarter): 4% discount on the total order value.
- The importer has the right to request exclusive distribution rights for one or a group of product lines in a specific country/territory.
- Minimum Order Commitment: To maintain exclusive rights, the distributor must commit to a minimum order growth each year (e.g., minimum 12 containers/year in the first year, 15% growth in the second year).
- Termination of Exclusive Rights: If the distributor fails to achieve 80% of the committed order volume for two consecutive quarters without a valid reason, the company has the right to expand the sales channel to another partner in that market.
- Registration Documents: The company provides free support with the necessary documents for importers to register their products in their home countries, including: Certificate of Free Sale (CFS), Certificate of Analysis (COA), and Production Line Certification (HACCP/ISO).
- Marketing Support: Provides digital product images and videos (original files) for partners’ marketing efforts. Supports up to 1% of the order value with samples for tasting or complimentary gifts (cups, spoons, etc.) for promotional programs and trials at partner supermarkets.
- Incoterms: FOB delivery is encouraged at Cat Lai / Hai Phong / Da Nang (Incoterms 2020).
- Payment: Due to the complex production and packaging printing time required for finished goods: A 40% deposit is required immediately after signing the contract to begin production. The remaining 60% will be paid within 3-5 working days after receiving a scanned copy of the shipping documents (B/L). Goods will be released via Telex Release/Surrendered B/L once the company’s account has sufficient funds.
